- other information relevant to customer surveys and/or offers

We may use the information to customise the website according to your interests

We are committed to ensuring that your information is secure. In order to prevent unauthorised access or disclosure we have put in place suitable physical, electronic and managerial procedures to safeguard and secure the information we collect online.
How we use cookies
A cookie is a small file which asks permission to be placed on your computer’s hard drive. Once you agree, the file is added and the cookie helps analyse web traffic or lets you know when you visit a particular site. Cookies allow web applications to respond to you as an individual. The web application can tailor its operations to your needs, likes and dislikes by gathering and remembering information about your preferences.
We use traffic log cookies to identify which pages are being used. This helps us analyse data about web page traffic and improve our website in order to tailor it to customer needs. We only use this information for statistical analysis purposes and then the data is removed from the system.
Overall, cookies help us provide you with a better website, by enabling us to monitor which pages you find useful and which you do not. A cookie in no way gives us access to your computer or any information about you, other than the data you choose to share with us.
You can choose to accept or decline cookies. Most web browsers automatically accept cookies, but you can usually modify your browser setting to decline cookies if you prefer. This may prevent you from taking full advantage of the website.
You can also accept or decline non-essential cookies using our cookie banner.
Site visitation tracking
This website uses Google Analytics (GA) to understand how visitors use our web pages and how they move through the site, but only if you accept analytics cookies in our cookie banner. If you decline, or don’t choose, GA does not set cookies or record your visit in detail. You can change your choice at any time using the cookie settings link or icon on the website.
Although GA records data such as your general location, device, internet browser and operating system, none of this information personally identifies you to us. GA also processes your device’s IP address, but Google does not give us access to it. We keep GA data for 14 months from your last visit. We consider Google to be a third-party data processor. Details of the cookies GA uses can be found in Google’s developer guides.
Our cookie banner is provided by CookieScript, which remembers your choice so we don’t ask you on every visit.
Our own website analytics
As well as Google Analytics, Affinity Club Limited uses its own analytics, which runs on this website, to understand how the site is used. For example, it shows which events, venues and partner offers are viewed, how people find the site, and how many visits lead to a booking or a membership. We use this to improve the website, plan events our members will enjoy, and show our partner venues how much interest their events and offers attract.
This analytics does not use cookies and stores nothing on your device. It records:
- the page viewed, and the date and time
- actions such as clicking a link to another website, a download, or an email or phone link
- general information, such as whether you are using a phone, tablet or computer, and which country you are visiting from
- how you arrived, for example from a search engine, social media or another website
- when a visit reaches a goal we track, such as registering, buying a membership or booking an event
We do not store your IP address, your browser details or anything else that identifies you. To group the pages viewed in a single visit, your IP address and browser details are briefly combined with a random value that changes every day, then scrambled into a one-way code. The random value is deleted each day, so these codes cannot be linked back to you, even by us.
If you are a member and logged in, your visits are recorded the same way and are not linked to your membership account, your name or your email address. When you buy a membership or book an event, our analytics records only that the purchase happened and which product it was. It never records your name, address, payment details or order number. Our reports also show total sales and the products bought, but never individual customers’ details.
This information is stored on our own website and deleted after 25 months. We share summary figures only, never information about individual visits, with our partner venues, about interest in their own events and offers, and with our website provider, h2o digital, which produces our reports. We do not sell this information or share it with advertisers. Our legal basis for this processing is legitimate interests: understanding how our website is used, so we can improve it and our events.
Staying Connected
When we send emails to members, we may use light engagement tracking to help us understand what resonates with our community. This may include:
- Whether an email has been opened
- Whether a link within it has been clicked
- The date and time of interaction
- Limited technical information, such as a hashed version of your IP address used for security and reporting purposes. We do not store your actual IP address. This gives us some duplicate protection, light diagnostic insight and bot filtering ability.
We use this insight simply to make things better — to share events you’re more likely to enjoy, reduce emails that aren’t relevant, and continue shaping Affinity around what our community genuinely responds to. Engagement data is retained only for as long as needed to help us improve our communications, after which it will be deleted.
We do not sell or share this information with third parties. It is stored securely within our systems and, where relevant, linked to your membership account. Our legal basis for this processing is legitimate interests — helping us create meaningful, relevant communication for our community. You can unsubscribe at any time, and you’re always welcome to contact us at hello@affinity-club.co.uk if you’d like to access or remove your data.
Links to other websites
Our website may contain links to enable you to visit other websites of interest easily. However, once you have used these links to leave our site, you should note that we do not have any control over that other website. Therefore, we cannot be responsible for the protection and privacy of any information which you provide whilst visiting such sites and such sites are not governed by this privacy statement. You should exercise caution and look at the privacy statement applicable to the website in question.
Controlling your personal information
You may choose to restrict the collection or use of your personal information in the following ways:
If you have previously agreed to us using your personal information for direct marketing purposes, you can change your mind at any time by using the unsubscribe link in any of our emails, by changing your communication settings in your account on our website or in the Affinity Club app, or by emailing us at hello@affinity-club.co.uk.
We will not sell, distribute or lease your personal information to third parties unless we have your permission or are required by law to do so. We may use your personal information to send you promotional information about third parties which we think you may find interesting if you tell us that you wish this to happen.
You may request details of personal information which we hold about you under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. If you would like a copy of the information held on you please write to hello@affinity-club.co.uk .
If you believe that any information we are holding on you is incorrect or incomplete, please write to or email us as soon as possible, at the above address. We will promptly correct any information found to be incorrect.
Contact forms
Should you choose to contact us using a contact form on this website, we will follow this up with you by email, mail or telephone (including text message or WhatsApp). Your data will not be sold or used for any other purposes.
Emails and app notifications
As a member, we’ll contact you about your account and membership. This includes booking confirmations, reminders about events you’ve booked, help getting started, and the occasional personal message asking how your first event or trial went. We may send these by email or WhatsApp, if you’ve given us your mobile number. They’re part of having an Affinity account, and each one includes a link to remove your details if you’d rather not have an account any more.
When you join you can also choose whether you’d like to hear about new and upcoming events. This one setting covers both our emails and notifications in the Affinity Club app, and you can change it at any time in your account on our website or in the app.
If you have connections (see below), we’ll also let you know when they book an event, by email and app notification, no more than once per event every three days. You can switch these off separately for email and the app at any time in Edit Profile under Privacy and notifications.
Every events email we send includes an unsubscribe link. Click it, confirm, and you are off the list straight away, without needing to log in. Your email provider may also show its own unsubscribe button, which works in the same way.
We send our emails ourselves using our Microsoft 365 email service, and app notifications are delivered through Expo’s push notification service. Both act as data processors for us. We do not pass your email address to any other mailing list provider.
Some personal messages are drafted with the help of Anthropic’s Claude AI service. It sees your first name, the profile details you’ve shared with us (such as your bio and interests) and your bookings, so the message is relevant to you. Anthropic acts as a data processor and doesn’t use this information to train its AI. A member of our team always reads the message before it’s sent.
We also look at how members use Affinity, such as bookings, attendance and feedback, to see who might need a hand getting involved. This is only used by our team and is never shown to other members.
If you unsubscribe, we keep a secure record that you have opted out so that you are not added back by mistake. You will still receive messages about your account and anything you have booked, such as booking confirmations and receipts.
If you are under 16 years of age you must obtain parental consent.
Connections
Members can connect with each other on the Affinity Club website and app. When you send or accept a connection request, we store that link between your two accounts. A connection can see when you’ve booked an event, unless you tick “Don’t let my connections know I’ve booked” when booking.
Your connections list is private to you. Other members only see how many connections you have, never who they are. We only ever show your first name in connection requests and notifications. Connecting never shares your email address or phone number, and there is no private messaging between members.
Connection requests, acceptances and bookings by your connections are shown in the notifications list on our website and in the app. You can stop other members sending you requests, or switch off these notifications by email or in the app, at any time in Edit Profile under Privacy and notifications. You can also remove a connection at any time, and the other member isn’t told.
If you delete your account, your connections and notifications are deleted with it.
Affinity Partner Offers
Affinity Partner Offers are exclusive perks provided by selected Affinity Partners for the benefit of our members. These may include discounts, complimentary items, special promotions or other exclusive offers available at participating venues and businesses.
To redeem an offer, members simply present the unique QR code displayed on the offer page to a member of staff. The venue will scan the QR code, verify the offer using their secure venue PIN and record the redemption. This helps ensure offers are used correctly and prevents unauthorised use.
As part of the redemption process, Affinity securely verifies that the member has a valid membership before allowing the offer to be redeemed.
Please note: As a thank you for supporting the Affinity community, participating venues will have access to the member’s name and email address once an offer has been successfully redeemed. This information is provided solely to identify the member who redeemed the offer, assist with any queries relating to the redemption, and to help venues understand the value of their partnership with Affinity. By ticking the consent box and redeeming an Affinity Partner Offer, you agree that the participating venue may use your name and email address to contact you, including for marketing purposes, in accordance with their own privacy policy.

We use a number of third parties to process personal data on our behalf. These third parties have been carefully chosen and all of them comply with UK data protection law. The Affinity Club app
This section explains how we use your information when you use the Affinity Club app for iPhone and Android. It adds to the rest of this privacy policy, which also applies to the app.
Signing in
You sign in to the app with the same email address and password you use on affinity-club.co.uk. We don’t create a separate app account. When you sign in, we give the app a secure sign-in code, which is stored in your phone’s secure storage so you stay signed in. It’s removed when you log out, and it stops working if you reset your password. Your password is never stored on your phone.
Information the app shows you
The app shows information we already hold about you as a member: your name, email address, membership type and renewal date, the events you’ve booked, and your contact preferences. This information stays on our website. To load quickly and work when you have a poor signal, the app keeps a copy of it on your phone for up to seven days. It is deleted when you log out.
For each event, the app shows the first names and profile photos of members who are going, and the date they booked, the same as the event pages on our website when you’re signed in. It never shows surnames or contact details.
Booking and payments
When you book an event or manage your membership, the app opens our website’s secure checkout inside the app. Payments are handled by our payment provider, Stripe, in exactly the same way as when you book on our website. The app itself never sees or stores your card details.
Notifications
If you allow notifications, we may send you:
- New event announcements, if “Contact me about new and upcoming events” is switched on.
- Reminders the day before events you’ve booked, and updates from the event host about events you’ve booked, if “Contact me to event reminders next day” is switched on.
These are the same contact preferences shown on your account on our website, and you can change them at any time in the app (Profile → Notifications). You can also turn notifications off completely in your phone’s settings.
To send notifications, we store a notification code that identifies the app on your phone. Notifications are delivered through Expo (our app platform provider) and Google Firebase Cloud Messaging on Android, or Apple Push Notification service on iPhone. When you log out or uninstall the app, we stop sending notifications to that phone.
App analytics
To help us improve the app, we use Google Analytics for Firebase to collect anonymous information about how the app is used. This covers the screens you visit, features such as booking or sharing, and technical details like your device type, operating system and app version. It is not linked to your name, email address or member account.
Analytics is switched on by default. You can switch it off at any time in the app under Profile → Privacy → Usage analytics. Google processes this data on our behalf and keeps it for 14 months, after which it is automatically deleted. You can read more in Google’s privacy policy at policies.google.com/privacy.
Your calendar, maps and sharing
- Add to calendar: this opens your phone’s own calendar screen with the event details filled in. The app doesn’t read your calendar or see anything else in it.
- Directions: this opens your maps app with the venue’s address.
- Share: this opens your phone’s share options with a link to our website. We don’t see who you share it with.
Location, contacts and photos
The app does not access your location, contacts, photos, camera or microphone.
Who we share information with
For the app, we use the following service providers, who process information on our behalf:
- Expo (650 Industries, Inc.): app platform and notification delivery.
- Google (Firebase Cloud Messaging and Google Analytics for Firebase): notification delivery on Android, and anonymous app analytics.
- Apple: notification delivery on iPhone.
- Kinsta: hosting of our website, which the app connects to.
- Stripe: payments made through our checkout
Some of these providers are based in, or process information in, the United States. Where information is transferred outside the UK, we rely on the safeguards the UK recognises for this, such as the UK–US Data Bridge or standard contractual clauses, so your information is protected to UK standards.
Your choices and rights
You can log out of the app, change your notification and analytics settings, or uninstall the app at any time. Your rights over your personal information are the same whether you use the app or our website: see “Controlling your personal information” above. To ask about or exercise your rights, email us at hello@affinity-club.co.uk.
Beta service
The Affinity Club website and app are currently in beta. We’re continuing to test and improve them, so you may occasionally find features that change or don’t work quite as expected. If you spot something that isn’t right, please let us know at hello@affinity-club.co.uk. Your bookings, membership and payments are handled securely throughout, and your feedback helps us make the experience better for every member.
