Event Booking Terms and Conditions
To help us run our events smoothly and safely, we may need to share some of your personal details with event organisers and the venue hosting the event. This is typically limited to information such as your name and any special dietary requirements or accessibility needs.
We may also be required to share information with UK authorities where this is required by law. We will never sell your data or share it with unrelated third parties without first obtaining your explicit permission.
By booking onto an event, you consent to us sharing your name and photographic image with other attendees for the purposes of networking.
We and/or the event organisers may occasionally use event photographs in print, online media and on social media to promote Affinity Club and the organiser’s activities. We and/or the event organisers may also contact you after the event to request feedback and help us improve future experiences.
Attendance & RSVP Responsibilities
To help us manage events effectively, members are expected to keep their RSVPs accurate and up to date. If a member repeatedly books events and fails to attend without cancelling or updating their RSVP, we reserve the right to decline or refuse their membership renewal. This ensures fairness to other members and helps us run events smoothly.
Safety & Responsibility
Affinity Club provides a platform for people to meet, socialise and attend events. We act only as a facilitator and starting point. We do not oversee or control the venues, activities or interactions that take place during events.
All attendees are responsible for their own safety and conduct. Any issues, incidents or concerns that arise at an event fall under the responsibility of the venue, or the attendee. By attending, you acknowledge that you participate at your own risk and agree that Affinity Club is not liable for any loss, injury or incident that may occur.
Conduct & Behaviour
To ensure a positive experience for everyone, all attendees are expected to behave respectfully and responsibly. We reserve the right to remove any attendee from an event or decline future attendance if their behaviour is inappropriate, unsafe, disruptive or in breach of venue rules. Any refund relating to the unused portion of an annual membership will be assessed at our discretion.
Third-Party Venues & Suppliers
Affinity Club does not own or operate the venues, transport, activities or services used for our events. All venues and third-party suppliers are responsible for their own health and safety measures, insurance, staffing, food hygiene, licensing and accessibility. Any claims, issues or incidents relating to venue operations or third-party services must be directed to them.
Personal Belongings
You are responsible for your own personal belongings at all events. Affinity Club accepts no liability for loss, theft or damage to personal items brought to any venue or activity.
Health, Fitness & Medical Considerations
Some events may involve physical activity or environments that could pose risks (such as walking, dancing, outdoor events, or crowded venues). It is your responsibility to ensure you are fit to participate. If you have any medical or accessibility needs, please inform us when booking so that the venue or organiser can accommodate where possible.
Alcohol & Substance Use
Where alcohol is served, attendees agree to drink responsibly. Affinity Club is not responsible for any consequences arising from alcohol consumption or misuse. Anyone under the influence in a way that risks their safety or the safety of others may be refused entry or asked to leave.
Event Changes, Rescheduling & Cancellations
We reserve the right to amend, reschedule or cancel events where necessary, including (but not limited to) venue changes, unforeseen circumstances, operational requirements or low attendance. Where an event is cancelled by Affinity Club, refunds will be issued where appropriate. Affinity Club is not liable for any additional costs incurred by attendees, such as travel, accommodation or childcare.
If a member cancels their attendance at a paid event, refunds are not guaranteed and will be issued entirely at the discretion of Affinity Club. Any refund offered will depend on factors including (but not limited to) the notice period provided, the terms and conditions of the venue or event organiser, whether costs have already been incurred, and whether the place can be filled by another attendee.
In some cases, a partial refund, credit towards a future event, or no refund may apply. Tickets are non-transferable unless explicitly stated and approved in advance. Affinity Club is not responsible for any personal expenses incurred as a result of cancellations.
Limitation of Liability
To the fullest extent permitted by law, Affinity Club accepts no responsibility for:
- personal injury, illness, loss or damage arising from attendance at an event
- interactions between attendees
- actions of third-party venues or suppliers
- any decisions individuals make before, during or after the event
Attendance is entirely at your own risk.
Communications & Notifications
By registering with Affinity Club, you agree that we may contact you regarding your bookings, updates, changes to events, and important safety information. It is your responsibility to ensure your contact details are accurate and monitored.
